Responsibilities

Is responsible for performing general and specialized administrative duties to support the Executive Team, Board of Directors, and Members in ensuring quality internal and external communications by performing the following duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:                         

  • Coordinates and attends meetings for the Board of Directors;
  • Schedules Board functions within budget guidelines;
  • Scheduling and coordinating regional and statewide meetings for members or other stakeholders;
  • Negotiates hotel, catering and other vendor contracts needed to support the business meetings throughout the state;
  • In conjunction with marketing department, organize and coordinate trade show exhibits for marketing staff, including securing exhibit space, designing the exhibit/booth space, booth giveaways, and developing the staff schedule to work the trade show;
  • Coordinates all board member hotel and on-site travel needs for board meetings or other board functions;
  • Coordinates board and/or executive staff events at other conferences;
  • Serves as back up for receptionist desk;
  • Performs other administrative duties as assigned.

 



Qualifications / Skills Required

KNOWLEDGE/SKILLS/ABILITIES:

  • Intermediate knowledge of MS Office including Word, Excel, PowerPoint and Access
  • Familiarity with PageMaker 6.5 or other graphic/layout programs
  • Strong organizational and communication skills
  • Ability to read, comprehend and carry out verbal or written instructions
  • Ability to write simple correspondence 
  • Demonstrated ability to meet deadlines while working with large amounts of data required
  • Ability to travel to regional meetings, board meetings, and other related conferences (approximately 15% of work time).
  • Effectively interfaces with alliance, partners, and vendors to provide successful outcomes to the TML IEBP membership   

EDUCATION/EXPERIENCE

  • High school diploma or general education degree (GED)
  • Minimum two years experience in a related setting

  • Ability to reach with hands and arms
  • Ability to sit for extended periods of time to read, write or use keyboard
  • Ability to repetitively enter data on keyboard and review information on CRT screen
  • Ability to speak/hear clearly to communicate by phone or in person
  • Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds 
  • Ability to travel as needed
